Who is this lesson for?
For HR: see how many leave days each person used, and how many they still have.
Before you start
- Permission to view the leave report.
- Leave types and quotas are set: leave settings.
Open the leave report
From the menu: Analytics and reports → Reports → Leave Report.

Filter: Duration and employee. Each row is one employee. Columns are your leave types (annual, casual, sick, …), then:
- Approved — days already approved in this range.
- Pending — requests still waiting. These do not reduce remaining quota yet.
- Upcoming — approved leave that starts after today (still inside the range).
0.5 means a half day — not a full day. Example: casual 0.5 and approved 3.5 = three full days plus one half day.
Click a number to open those requests. Export downloads the table.
Open leave quota
On the red bar click Leave quota.

This is remaining balance — not what was taken in one month. Filter by employee. Then choose the period:
- This month — used vs remaining in the current month.
- This year — the calendar year.
- Employee leave year — that person’s leave year (example: 24-09-2026 – 23-09-2027). This is the default.
Each type shows used / total (example: 0.5 / 7 = half a day used of 7). Remaining leave is what they can still request. Click a number for that employee’s quota detail. Export downloads the table.
What happens after you read it?
- Approve or reject waiting requests from leave requests.
- If remaining is 0, a new request of that type will not go through until you change the quota in leave settings.
Common questions
All zeros on the leave report?
No leave was requested in this duration. Widen the dates, or open Leave quota to see the yearly balance.
What does 0.5 mean?
A half-day leave. A full day is 1. Two half days in the period add up to 1.
Quota does not match a request?
Pending days are not taken off remaining until they are approved.
