Who is this lesson for?

  • Sales manager or system admin: sets the path before anyone adds a lead.
  • Deal agent: an employee who can be assigned a lead or a client for follow-up.
  • The lead: does not open this page. They become a client only if a stage has Add to clients ticked.

Before you start

  • You need permission to manage lead settings, and the leads module must be enabled for the company.
  • Employees who will follow up on leads or clients must already be in the company.

Open Lead Settings

From the menu: Leads → Lead Settings. Or from Settings: Lead Settings.

Lead Settings page with the Setup tab and Lead Settings marked in the settings list

Stay on the Setup tab first. Then open Performance ratings and Auto follow-up.

Deal pipelines

A pipeline is the path a deal follows from first contact until it is finished. Keep one default path for everyday deals. Add another only if you sell in a different way.

Deal pipelines table with Sales stages as default and Add deal pipeline marked

  • Name and colour: what the team sees on the board.
  • Default: the path new deals use. Tick it on one pipeline only.

Click Add deal pipeline for a second path, then Save under the panel.

Pipeline stages

Stages are the steps inside the selected pipeline. Click a pipeline row to edit its stages.

Stages: Qualified (default), Negotiation, Invoicing with Done and Add to clients ticked, Add stage marked

TickWhen to use it
Default The first step for a new deal. One stage per pipeline.
Done The deal is finished (won). Follow-up reminders stop.
Add to clients When a deal reaches this stage, the lead becomes a client.
Refused The lead is not interested. Follow-up reminders stop.

Example: Qualified (default) → Negotiation → Invoicing with Done and Add to clients. Tick Refused on a separate stage if you want a lost column on the board.

Click Add stage, then Save.

Deal agents

These are the employees who can be assigned a lead or a client for follow-up. They appear when you add a lead or a deal, and when you assign a lead or a client to an employee.

Deal agent list with employees, category, status Enabled, and Add Deal Agent marked

  • Employee: who follows up on the lead or the client.
  • Category: optional. Limits the agent to that deal category.
  • Status: Enabled stays on the picker. Disabled keeps the record without assigning new leads or clients.

Click Add Deal Agent, then Save.

Lead sources and deal categories

Sources answer “where did this lead come from?”. Categories group deals (product line, deal size).

Lead sources and deal categories lists with Add New Lead Source marked

Add a row, type the name, then Save under that panel. Both lists appear on the add-lead and add-deal forms.

WhatsApp first message

This text opens when someone sends WhatsApp from a lead page. Leave it empty if you do not want a ready message.

WhatsApp first message box and Save

Write a short greeting, then Save.

What happens after you save?

  • New deals use the default pipeline and the default stage.
  • Agents appear when you add a lead or a deal, and when you assign a lead or a client to an employee. Sources and categories appear on the add forms.
  • A deal that reaches a stage with Add to clients creates a client from that lead.
  • Stages marked Done or Refused do not send follow-up reminders.

Common questions

Pipeline or stage?
The pipeline is the whole path. Stages are the steps on that path. Most companies keep one pipeline.

Add to clients without Done?
The lead still becomes a client at that step. Tick both on the last stage if winning the deal should also create the client.

When is the client created?
When a deal is moved to that stage — not when you tick the box here.

Public lead form?
That is a shareable form, not this page. Open it from the leads list.
